itunes terrible UI: Cant figure out how to sync...

I have googled this and read many articles, but none of them work. Perhaps itunes has changed since the articles were written.

The problem:

  1. Cant figure out how to sync music with iDevice.  The music is shown to be "on" the device within itune but greyed out with a mystery circle icon on the left (better quality SW would have a tool tip).  There is no sync button or similar, so I cant for the life of me figure out how to get the music to copy across.
  2. itunes is one of the most unintuitive SW I have experienced.  As a computer guru, I have around 10 people who come to me to put their music onto their ipods, ipads and iphones. They cant figure it out themselves and expect me to do this for them.  I have done it in the past, but have forgotten the set of unintuitive and non-guessable steps required.  Next time I will write them down.  One of the really bad parts of the UI is the fact that some stuff is done with the device listed on the left pane (media managment), some stuff is done from the device icon at the top (settings), Apple should do it all from one place, or all features should be available form all places. This is school boy UI stuff.
  3. There is no where to compare, side by side, what is on the iDevice and in your itunes. This means you have to get paper and pen, and write down albums are on the device, then go to itunes, and copy the ones you want minus the ones which are already on there.  Crazy.
  4. The documentation is wrong or missing a vital step. Look at this article: Manually manage content on your iPhone, iPad, or iPod touch using iTunes - Apple Support It says just drag the music across. This doesnt work. (see below)

The setup:

itunes was configured with the following ticked:

  1. sync this xxx over wifi.
  2. sync only the ticked songs and videos
  3. Manually manage music and videos (I cant see how the computer could possibly know which of my albums I want to sync).
  4. all music is local to my PC only. This is because people come to me with the CD or a digital copy of the music to upload to their ipod/pad/phone.  Most of them buy the CD and rip it because if they "buy" the mp3 version, they will a) lose it b) not be able to play it on their CD players at the highest quality c) be stuck with the 5 copies DRM.  You never lose a CD.

What I have done so far.

  1. First I was dragging the tunes to the icon at the top.  this kind of works in that it shows the files being dragged correctly, but there is an exclamation mark. The problem is that there is no indication of what the exclamation mark means. The device is full?  That it will sync later?  This should either work, or allow the files to be dropped. shockingly bad UI design.
  2. Secondly tried dragging required albums to device listed on the left. This is even works. This time it gets no exclamation mark, but doesn't sync.
  3. When you open up the albums on the iDevice, it shows what I have dragged, but for sume unknown reason, hasnt copied them over.  Instead, they are listed in grey, with a mystery circle icon on the left. for some Bazar reason, apple have chosen to not put a tool tip on this icon, so that users have no way of knowing what it means.  This is school boy UI error number 2.
  4. When you google how to get music onto ipod or iphone, there are no more steps. this is all you have to do. There is no sync button, there is no "do it now" button anywhere on the UI (which I can find)

Can anyone explain to me

  1. what I am doing wrong.
  2. Why this is not documented (see Manually manage content on your iPhone, iPad, or iPod touch using iTunes - Apple Support
  3. Why the UI of itunes breaks standard UI rules making it unusable for at least 11 people.
  4. Android is so simple by comparison, you just drag the music folder onto your device in the file manager.  THis is one reason I recommend Android over iphone for any non-guru.
