Rules For Optimized Storage

I have copies of several old drives placed as folders on my desktop.

My end goal is to have a cloud backup of all these old drives.

I very rarely look back for information on these old drives.

I have no reason to keep a local copy.

For my current work, I do want both local copies and cloud copies as a backup.

As a workaround to share my iCloud with my wife, I set up a shared folder which via network she uses as her primary file storage place.

I would also like to migrate my DropBox and OneDrive to iClould (all in one place).

Apple > System Preferences > iCloud

All options are checked except "Keychain" and "Back to My Mac".

> iCloud Drive > Options

All options are checked.

Also, the checkbox, "Optimize Mac Storage" is checked.

The note says:

The full contents of iCloud Drive will be stored on this Mac.  If you have enough space.  Older Documents will be stored only in iCloud when space is needed.

Does anyone know how the iCloud system defines "older" and "documents"?

Is there a way to accomplish my goal using iCloud or should I subscribe to a different cloud?

In Finder, I selected list view and checked all dates and iCloud status.

It doesn't matter which folder I select, it seems to be random of what is in iClould status, "downloaded" and "in iCloud".

In this particular folder that I am viewing:

All .pdf files are marked as "downloaded".

Some .doc and .docx files are "downloaded" and "in iCloud".

.txt are "downloaded".

I have several .jpg files and about 1/2 are in "downloaded" and the remainder "in iCloud".

.xls "downloaded".

In my current folders, .numbers are marked as "in iClould".  However, .csv, .pdf, .jpg, .docx and .xlsx all shows as "downloaded".

It does appear everything is in iCloud.

On a separate note...

When logged into iCloud via the web interface:

Is there a way to get a "list view" instead of the big chunky icons?

Is there a way to show file extensions?
